Admin Manager

Description

The Administrative Manager holds an essential role in the Operations department, ensuring that daily operations are performed in a seamless and efficient manner. Having excellent communication, organizational and financial skills are necessary. The Admin Manager shall be well-versed in the company’s vision, procedures and policies and shall actively discover new ways to do the job smarter and more efficient. All ways of working, values and communication must be aligned with the company’s vision to create a Smart Sustainable City thru the technologies and projects that we develop.

Key Responsibilities

  • Supervising day-to-day operations of the Ops department and the team.
  • Contact clients and send reminders to ensure timely payments.
  • Manage obligations to suppliers, customers and third-party vendors as well as arrange disbursement tasks.
  • Submit and file tax forms.
  • Collecting, organizing, and storing information using computers and filing systems, digitally and hardcopy on file.
  • Oversee and provide legal documents for bidding, accreditation, partnerships
  • Lead and oversee project status and collections among project management team thru regular meetings such as Pipeline.
  • Manage master accounts and access of company, as well as master list and status of inventory.
  • Manage company’s legal compliance such as application and renewal of permits, government mandated permits and enterprise compliance documents.
  • Execute other Admin tasks for other Companies and assist CEO/ COO with other tasks.
  • Working with accounting, legal and management team to set budgets, monitor spending, employee benefits, taxes and other expenses.
  • Reconcile financial statements and update daily cash position or balance tracking sheet.
  • Report on the status of accounts payable and receivable.
  • Update internal accounting and client databases and spreadsheets.
  • Monitor cashflow and assist in budget and cost estimate preparation.
  • Conduct weekly report and monthly report on internal Financial Statement of the company and recommend smart and sound advice on company’s financial decisions.
  • Develop, review, and improve administrative systems, policies, and procedures.
  • Identify and address discrepancies and suggest improvement in operations department.
  • Organize and supervise other office activities (town hall, fun activities, event planning etc.).
  • Ensure operations adhere to government policies and regulations.
  • Stay informed about all organizational changes and business developments

Job Requirements

  • With at least 3 to 4 years experience
  • Experience in related field, such as management or financial reporting, is preferred.
  • Exceptional leadership and time, task, and resource management skills.
  • Excellence in management skills.
  • Strong problem solving, critical thinking, coaching, interpersonal, and verbal and written communication skills.
  • Proficiency with computers, especially MS Office.
  • Ability to plan for and keep track of multiple projects and deadlines.
  • Good financial skills, budget planning and enforcement as well as customer service procedures.
  • Willingness to continue building skills through education opportunities.
  • At least have IT industry experience
